Introduction:
Creating paginated reports allows us to generate detailed and formatted reports, perfect for printing and sharing. This guide will walk you through the steps to create a paginated report using Power BI Service.
In this blog, we will learn how we can create a paginated report in Power BI Service,
If you need to present in a structured, print-ready format, like invoices, financial statements with Power BI semantic model on the web without installing Report Builder,
Then we can do, here is step by step guide.
Steps to Create a Paginated Report:
1. Open Power BI Service:
- Log in to your Power BI Service account.
2. Select the Semantic Model or Dataset on top of which you want to create the paginated report:
- Navigate to the workspace where your dataset is published.
- Find and select the semantic model or dataset you want to use.

3. Access the Create Paginated Report Option:
- Click on the ellipsis for more options (three dots) next to your selected dataset.

- Choose "Create Paginated Report" from the dropdown menu.

4. Set Up the Report Workspace:
- Power BI Service will open a new space where we can design our paginated report.
- You will see all the tables and fields available in the selected semantic model.

5. Select Columns for Your Report:
- Choose the columns that you want to include in your paginated report.
- Drag and drop these columns into the Build section of the report workspace.

Or we can simply click on the checkbox of the column name.
6. Arrange the Columns:
- Organize and arrange the columns as needed to create a well-structured report.

- Customize the layout to fit your requirements.

7. Insert Additional Elements:
- Use the "Insert" section to add images, textboxes, headers, and footers in your report
- This helps enhance the visual appeal and provide additional context or branding to our report.

8. Create the Paginated Report:
- Once you have added and arranged the columns, your basic paginated report will be ready.
- Power BI Service currently supports creating paginated reports in a table format.

You can see your report in preview in the Preview section.
9. Save and Share the Report:
- Save your report within the Power BI Service.
-We can now share the report with others or export it for printing.
To Export click on home section and then select the Export option from the ribbon, now you can see all the different types of files.

Click ‘save’ to save this report
Click on 'Download Report' option so we can open it in Power BI Report Builder for further editing, adding filter & parameter, or including different charts if needed.
By following these steps, you can easily create paginated reports in Power BI Service itself. These reports are ideal for generating formatted documents that can be shared or printed.
